A plain-English explanation of what CommuniTEA Directory collects, why we use it, and the choices you have.

Last updated: 31 August 2026

Who we are

CommuniTEA Directory is operated by here/now/today ltd. For data protection purposes, here/now/today ltd is the controller of personal information collected directly through this directory.

You can contact us at hello@herenowtoday.co.uk.

What information we collect

Depending on how you use the directory, we may process your name, email address, phone number, account information, listing submissions, correction or claim requests, messages you send us, and information you provide when buying an advert.

Advert payments are handled by PayPal. We may receive an order or payment reference and payment status, but we do not ask you to enter your card or bank details into CommuniTEA Directory.

The directory also contains information about organisations, groups, venues and community services gathered from public and official sources. Some public-facing contact information may identify an individual, for example a named organiser or sole trader.

For basic audience statistics we use a randomly generated browser identifier. It is hashed before being stored on our server. We use it to estimate live and returning visitors, not to identify who you are, build an advertising profile or follow you around other websites.

Why we use it

We use information to run the directory, publish and maintain useful listings, respond to corrections and claims, administer accounts, process and review adverts, prevent duplicate community signals, keep the service secure, understand basic usage, and meet legal or accounting duties.

Our lawful bases will depend on the activity. They may include performing a contract or taking steps you request before entering one, complying with a legal obligation, our legitimate interests in running and improving a trustworthy community directory, and consent where we specifically ask for it.

Where we publish contact information obtained from public sources, we aim to use only information that is relevant to the organisation or service and reasonably expected to be public. If something is wrong, outdated or should not be displayed, please tell us and we will review it.

Sensitive information

CommuniTEA Directory is not designed to collect medical records, detailed personal circumstances or other special-category information about visitors. Please do not include unnecessary sensitive personal information in free-text forms, listing corrections or evidence uploads.

Who we share information with

We use service providers to operate the directory, including Base44 for application infrastructure and PayPal for advert payments. Providers may process information on our behalf under their own security and data protection arrangements.

Public listing information is, by definition, visible to people using the directory. We may also disclose information where required by law, to protect people or the service, or in connection with professional advice or a legitimate business reorganisation.

How long we keep information

We keep information only for as long as it is reasonably needed for the purpose it was collected for. Directory records may remain while a listing is active or useful. Resolved correction and claim records are reviewed periodically and may be retained where needed to preserve an audit trail or resolve disputes.

Advert and payment administration records may be kept for up to six years where needed for tax, accounting or contractual records. Hashed visitor identifiers used for basic statistics are retained for no longer than about 13 months before being removed. Browser drafts and preferences have their own shorter or user-controlled lifetimes, explained on our cookies and storage page.

Your rights

UK data protection law may give you rights to access personal information, correct it, ask for deletion or restriction, object to certain processing, and in some cases receive a portable copy. Where we rely on consent, you can withdraw it.

To exercise a right, email hello@herenowtoday.co.uk. We may need enough information to confirm your identity and locate the relevant records.

You can also complain to the Information Commissioner’s Office if you are unhappy with how your information has been handled.

Keeping the directory accurate

Community information changes quickly. Listing owners, organisers and visitors can suggest corrections. We may verify information against official websites, public records and other credible sources before updating or removing a listing.

Changes to this policy

We may update this policy when the directory, our providers or the law changes. The date at the top shows the latest version.

Need something changed?

Email us and tell us which listing or record you mean. We would rather fix a problem than hide behind legal wallpaper.
